1. Information We Collect
We collect the following types of information when you use CabBooks:
- Account information: Email address, name, company name, MC/DOT numbers, address, and phone number that you provide during registration and profile setup.
- Load and financial data: Load details (pickup/delivery locations, rates, miles, broker info), invoices, and expenses that you enter into the App.
- Location data: When you enable GPS IFTA tracking, we collect precise location data (GPS coordinates, speed, and heading) to calculate mileage by state jurisdiction. Location tracking only occurs when you explicitly turn it on and can be disabled at any time. We also collect the state/jurisdiction derived from your coordinates for IFTA reporting.
- Device information: Device type, operating system version, app version, screen resolution, and locale/language settings for troubleshooting and compatibility purposes.
- Usage and app metrics: We collect anonymized usage data such as feature usage frequency, screen views, session duration, crash reports, and performance metrics (e.g., app load times, API response times). This data is collected in aggregate and cannot be used to identify individual users.
2. How We Use Your Information
- To provide and maintain the CabBooks service
- To calculate per-load profit, generate invoices, and produce IFTA reports
- To track mileage by state jurisdiction when GPS tracking is enabled
- To sync your data across devices
- To send service-related communications (account verification, password resets)
- To improve the App and fix bugs
- To analyze anonymized, aggregated usage patterns to understand which features are most valuable and where users encounter friction
- To monitor app performance, detect crashes, and resolve technical issues
3. Data Storage and Security
Your data is stored securely on encrypted servers. Only you can access your own loads, invoices, expenses, and IFTA records. Authentication credentials are stored using your device's secure storage. All data transmission is encrypted in transit.
4. Location Data
CabBooks requests location permissions only when you enable GPS IFTA tracking. Specifically:
- When collected: Location data is collected only while GPS IFTA tracking is actively enabled by you. It is not collected at any other time.
- What is collected: GPS coordinates, speed, heading, and timestamp at regular intervals while tracking is active. These are used to determine which state jurisdiction you are driving in and the distance traveled.
- Background tracking: When tracking is active, the App uses background location services so miles are recorded even when the App is not in the foreground. A visible indicator is displayed on your device at all times during background tracking.
- Idle detection: We use speed-based idle detection (below 2 mph) to avoid logging miles when your vehicle is stationary or parked.
- Stopping tracking: You can stop GPS tracking at any time. When you do, any pending mileage data is flushed and saved to your account. No further location data is collected until you re-enable tracking.
- Purpose limitation: Raw GPS coordinates are processed into state-level mileage totals for IFTA reporting. We do not use location data for advertising, user profiling, or any purpose other than IFTA mileage calculation.
5. Analytics & Anonymized Data
We collect anonymized and aggregated analytics data to improve CabBooks. This includes:
- App metrics: Crash reports, error logs, app launch times, screen load performance, and API response times. These help us identify and fix technical issues.
- Feature usage: Anonymized data on which features are used, how frequently, and general navigation patterns. For example, we may track how many users use GPS IFTA tracking or invoice emailing, but not the content of your loads or invoices.
- Session data: Session duration, app open frequency, and retention metrics in aggregate form.
This analytics data is stripped of personally identifiable information before processing. It is used solely to understand product usage, prioritize feature development, and improve app stability. We do not sell or share analytics data with third parties for advertising purposes.
6. Data Sharing
We do not sell your personal data. We share data only in the following limited circumstances:
- Invoice delivery: When you email an invoice to a broker, the invoice PDF containing load and company details is sent to the email address you specify.
- Service providers: We use trusted third-party providers for database hosting, authentication, and analytics. These providers process data only as necessary to provide the service and are bound by their own privacy and security obligations.
- Legal requirements: We may disclose data if required by law or in response to valid legal process.
7. Your Rights
You have the right to:
- Access your data at any time through the App
- Update or correct your profile and load information
- Export your data (invoices, IFTA reports, monthly P&L as PDF)
- Delete your account and associated data by contacting support
- Disable location tracking at any time
8. Data Retention
We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law.
9. Children's Privacy
CabBooks is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes through the App or via email. The “Last updated” date at the top reflects when the policy was last revised.
